Scenario: what we would build

Automation for transport and logistics operators, from booking to proof of delivery

A transport business moves goods all day and paper all month. Bookings are confirmed by phone, customers call for updates, proof of delivery comes back as a photo in a driver’s WhatsApp, and invoicing waits until somebody collects all of it.

In short

For a transport or logistics operator, automation connects booking, tracking and billing. A voice agent confirms bookings and pickup slots, customers get status updates at each milestone, and proof-of-delivery photos are read and attached to the consignment, which raises the invoice and the payment reminders. A morning list shows consignments missing a POD or a payment, and drivers’ document expiry dates are tracked. Rates, disputes and damage stay with people.

An illustration, not a client story: a typical map for this kind of business, drawn from what such businesses ask for. Your own map comes out of the study.

Where the paperwork piles up

Customers book by phone and confirm by phone. Through the trip they call the office, which calls the driver, to ask where the consignment is. At delivery, the signed POD is photographed on the driver’s phone and sent on WhatsApp, if it is sent at all.

Invoices wait for those PODs, so billing runs days or weeks behind the deliveries, and nobody has a list of which consignments are still missing their paperwork.

What we would build

A voice agent confirms bookings and pickup slots and answers “where is my consignment” from the trip record. Customers get updates at the milestones you choose: picked up, in transit, delivered. Drivers send the POD photo to one number, where an agent reads the consignment number and attaches the photo to the right record.

A POD in place raises the invoice and starts the payment reminders, with any promise to pay recorded. Each morning the office gets a list of consignments missing a POD, invoices overdue, and vehicles or drivers whose documents are due for renewal.

What stays with people

Quoting rates, handling disputes and damage claims, and deciding when a delay needs a call from a manager. The agent gathers the facts for each, the trip record, the POD and the conversation, so the person deciding starts with them.

What it connects to

Telephony and WhatsApp Business, your booking or transport management software, GPS tracking where your vehicles have it, your billing or accounting software, and your vehicle and driver records.

Questions

Common questions

Our vehicles have GPS from different vendors. Can updates use it?

Where a tracking provider offers access to positions, updates can be triggered from it. Where it does not, milestones are recorded by the driver or the office, and the update still goes out by rule.

What if a POD photo is unclear?

It goes to a person with whatever the agent could read. An unreadable POD never raises an invoice on a guess.

Can we start with billing only?

Yes. Capturing PODs and invoicing on them is often the first step, because it is where the paperwork waits longest. Bookings and updates can follow.
