Scenario: what we would build

Automation for clinics and diagnostic centres: a front desk that keeps up

Most of a clinic’s calls are the same few: book me, move me, is my report ready, where are you. A voice agent can take those on the clinic’s own number, in the caller’s language, while the people at the desk look after the patients in front of them.

In short

For a clinic or diagnostic centre, automation starts at the phone. A voice agent books and moves appointments against the live calendar, answers report-status questions from the record and sends the confirmation on WhatsApp. Reminders go out the evening before, bills are raised at the desk and posted, and consumables are reordered by rule. Clinical questions, complaints and anyone who asks for a person go to the staff.

Who could take each part of the work

The phone rings all morning with bookings, reschedules and “is my report ready”, while the front desk is also handling the people in front of it.

Routine parts that could run themselves

An illustration, not a client story: a typical map for this kind of business, drawn from what such businesses ask for. Your own map comes out of the study.

Where the front desk’s day goes

The morning is a queue on two lines: patients at the counter and callers on the phone. Most calls are routine, but each one takes a person away from the counter, and the calls that go unanswered are bookings that go elsewhere.

Behind the desk sit smaller jobs that pile up: reminding patients of review visits, filing reports from the lab or a referring doctor to the right record, and keeping track of consumables before they run out.

  • Bookings, reschedules and cancellations by phone
  • “Is my report ready?” calls
  • Directions and timings, asked again and again
  • Review-visit reminders kept in a register
  • Reports and referrals filed by hand

What we would build

A voice agent on the clinic’s number answers in English, Hindi or Gujarati, says that it is an automated assistant, and books or moves an appointment against the live calendar of each doctor or test slot. It answers report status from the lab or clinic record, and only the status: whether the report is ready and how to collect it, never what it says.

After the call, a WhatsApp message confirms the slot with the address and directions. The evening before, a reminder goes out by rule, and the patient can reply to move the slot. Review visits get their due date when the bill is raised, so the reminder is never forgotten. Reports that arrive by email are read and filed to the right patient record for a person to check.

  • Appointment booking and rescheduling by phone
  • Report status, never report contents
  • WhatsApp confirmations with directions
  • Evening-before and review-visit reminders
  • Reports filed to the patient record for review

What stays with people

Anything medical. The agent never gives clinical advice, never interprets a report and never judges urgency: a caller describing symptoms, or anyone who asks, is put through to the staff with the details taken. Complaints go to a person, and so does any caller the agent does not understand after one attempt.

Patient data is handled with permissions per role. The agent reads the calendar and the status of a report, not its findings, and every call is transcribed and logged, so the clinic can see what was said.

What it connects to

The clinic’s phone number, or a new one through a telephony provider; the appointment calendar or clinic software; the lab or report system, for status only; WhatsApp Business for confirmations and reminders; and the billing desk and stock records.

Questions

Common questions

Will patients know they are talking to an agent?

Yes. It says so at the start, and a caller can ask for a person at any time. Patients cooperate better with an assistant that is honest about what it is and hands over quickly.

Can the agent tell a patient what their report says?

No, and it is built not to. It tells the patient whether the report is ready and how to collect it. What the report means is for the doctor.

We already use clinic software. Do we have to change it?

No. The agent books into the calendar you already use, where that software offers an interface or a database we can work with. We confirm how before anything is built.

What happens next

  1. A person reads your note and replies within one working day.
  2. A call, in English, Hindi or Gujarati, to understand the workflow behind the problem. Every consultation call is free.
  3. A written proposal: scope, approach and what it will take.
