CRM vs ERP: what does a growing business actually need?
The two are sold as rivals and are really neighbours. One faces the customer, the other faces the operation. Which you need first depends on where your business is losing time today.
What each one is for
A CRM is about the relationship before and around a sale: leads, follow-ups, quotations, conversations, who promised what to whom. Its job is to make sure no opportunity is dropped.
An ERP is about fulfilling what was sold: stock, purchasing, production, dispatch, invoicing, accounts. Its job is to make sure what was promised is delivered and billed correctly.
Which problem do you actually have?
The symptoms are different, and they point in different directions.
- Forgotten follow-ups, quotations that go quiet, no view of the pipeline: a CRM problem
- Stock surprises, late dispatches, invoices that do not match orders: an ERP problem
- Sales promising what production cannot see: a connection problem, and the most common of all
Where generic products fall short
A generic CRM knows contacts and deals. In many businesses the sale depends on things it has never heard of: the catalogue, pricing rules, what is in stock, what is on the production floor. Salespeople then keep the real picture in chats and spreadsheets, and the CRM becomes a chore nobody updates.
Connect them rather than choose
The strongest setup keeps the ERP as the book of record and puts a sales console on top of it that reads stock, production and dispatch from it. Sales sees the truth, operations keeps its system, and nothing is typed twice.
Questions
Common questions
Can one system do both?
Large suites claim to. In practice one side is usually strong and the other an afterthought. Two systems that share data well beat one system that does half the job badly.
We are small. Do we need either?
You need whichever stops the loss you can already feel. If deals are slipping, start with the CRM side. If deliveries and invoices are going wrong, start with operations.
Can a CRM be built on top of our existing ERP?
Yes. We have built exactly that: a sales and production console that syncs from the client’s ERP and shows how fresh every figure is.
